Verify electrical drops

Drop locations need to match locations on booth layout diagram and also be working. You can use a phone charger or power strip with LED light to verify each circuit is working.

If not present or not working, notify tournament director or electrician.



Verify backdrop present

For most events the tournament provides the backdrop which is generally a 8'x20' or 9' x 19.5' or so cloth backdrop with grommets for hanging

If not present, notify tournament director.



Verify trash can present

Trash can is used for our waste. It is usually placed near the plaque making area

If not present, find one and move it into our booth



Set up 5x7 printers on pallet

Use drill and normal bit from toolbox to unscrew the wood stops and place them at the bottom of the pallet to be reused at breakdown





Remove any tape covering the printer





Remove the printer door so you can add paper





Verify the printer moveable stops (front and inside back) are set to 5” wide. To move stops, gently push and slide until they click.





Open paper roll from 5” paper box (preferrably start with partial rolls) and insert roll into printer (gray left, black right)





Insert paper down about 1” so when printer is turned on it will catch and load automatically





Close the printer door.





Attach the print catcher using the two tabs at the top.




Setup Team PC

Place Team Printer PC on left hand side of Team Printer table





Connect mouse and keyboard to Team Printer PC in back using USB 2.0 ports





Locate higher resolution, lighter weight, thinner Dell monitor usually at top of one of the Monitor bins. Locate the detachable stand with detachable base that is in the Monitor Stand bins. Connect the stand to the monitor





Connect the HDMI cable to the Monitor and the other end to the top HDMI slot on the Team Printer PC





Connect the 5x7 Printer USB cables to the lower left USB 3.0 ports on the Team Printer PC.





Connect the 8x10 Printer USB cable to the rightmost USB 3.0 ports on the Team Printer PC.





Connect the power cable to the Team Printer PC and the Monitor





Plug the power cables into a power strip that comes from the Power Strip Bin





Plug the power cables from the 5x7 and 8x10 printers to the power strip.





Plug the power cable from the laser printer to the power strip




Setup Camera Area

Verify the Camera Table is about 8' in front of the Team Area pads and the leftmost end of the table (about 2' of it) is facing the center of the Team Area pads.





Locate Camera Laptop in the Laptop Bin





Set the Camera Laptop on the Camera Table a little to the right side so there the laptop doesn't interfere with the camera that will be at the leftmost part of the table.





Lock Camera Laptop with non Kensington Lock (a little smaller head) to the table.





Locate Studio Light Stand in one of the long boxes. Set it up towards leftmost part of the table in back of the table facing the team photo area.





Locate Studio Light in the Studio Light case. Take the sync cord from the case as well.





Install the Studio Light on top of the Studio Light Stand with the light angled a little down towards the team photo area. Verify that the power is off and the blue button is depressed for maximum wattage.





Locate a studio light umbrella in one of the long boxes and install it on the Studio Light.





Raise the Studio Light and Umbrella so that the Umbrella edge is just above your head.





Locate the camera tripod in one of the long boxes and set it up. Bungie the tripod to the table so that when the camera is on top, it can't be hit and fall.





Connect a ethernet cable to the camera PC. The other end connects to the switch by the Upload PC. It probably needs to be taped down if it goes over a walking area.




Setup Sales Laptops

Locate Sales laptops in the blue laptop bin.





Set each Sales laptop on the Sales laptop tables about 2 per 8' table.





Locate Sales monitors in the red sales monitor bin





Set each Sales monitor near each Sales laptop. The Sales monitors should normally be on the left of each Sales laptop facing towards the customer at an angle so that if the customer were sitting directly in front of the laptop, then can easily see the monitor.





For each sales laptop, lock it to the table





For each sales laptop, connect it to the monitor via a VGA cable. Connect the power cable to the monitor. Connect the power adapter, ethernet cable, and mouse to each sales laptop.




Setup local area network switches and cables

Locate the network switches in the same box as the network switch





Place one 8 port switch under the table for each 6 sales stations. Place one 8 port switch under the table for the Request laptops, Team View touchscreens, and Team Identification laptop. Connect these together via ethernet cables. Attach the sales stations to their port switch and the Request laptops, Team View touchscreens, and Team Identification laptop to their switch.





Place one 5 port or 8 port switch near the Team Printer. Connect the Team Printer PC and laser printer to the switch via ethernet cables.





Place the 10 port switch near the Upload PC. Connect the Wireless Box, VSS, Upload PC, Photographer Scheduling Laptop, and Photography Laptop to it via ethernet cables.





Connect one of the 8 port switches underneath the sales station tables to the 10 port switch near the Upload PC via a long ethernet cable.





Connect the 5 port switch near the Team Printer to the 10 port switch near the Upload PC via a long ethernet cable.




Startup Team PC

Power On





Insert Darkroom Dongle in front one of the front USB ports





Verify 4x7 and 8x10 printers are recognized in Darkroom





Perform Nozzle Checks

Verify laser printer is on and connected to the internet





On each Sales laptop, do a test print to the laser printer to make sure it works.





On each Sales laptop, do a test 5x7 print in Darkroom to verify printing to the Fuji photo printers




Startup Team Preview All-In-One, Touchscreen Computers

Verify power cable, VGA cable, ethernet cable are attached





Power on (lower right button)





Verify boots into default Windows desktop





In browser, click TexStarMain/Team Preview (/TexStar/TexStarTeamsLarge.php) and verify this page works and occupies a large part of the screen while still showing team numbers below





Click F11 to go into full screen mode. Move the cursor to top of screen to verify it doesn't get out of full screen mode.




Startup Team Identification laptop

Verify power cable, VGA cable, ethernet cable are attached.





Power on





Verify boots into default Windows desktop





In browser, click TexStarMain/Identify Teams. Verify you see the Team Identification screen and it occupies most of the screen, while fields are visible on the right and Team numbers are visible at the bottom.




Startup Photographer laptop

Verify power cable, VGA cable, ethernet cable are attached.





Verify usb cable from camera is attached.





Verify studio light has power and is attached with sync cord to camera





Verify memory card in camera is blank and is of sufficient size (16MB or so far larger events)





Verify camera settings are good (F14-F16), ISO 1200-1600, shutterspeed 1/160, large size .jpg files (9MB or so), auto white balance, auto focus).





In camera initialize file numbers to 00000 (unless you are continuing at the same location and want to keep the numbers increasing – then don't initialize each weekend).





Power on





Verify boots into default Windows desktop





Verify T: drive is available which shows there is connectivity to the Upload PC





Delete files in C:/teams





Click the DSLR Remote icon on desktop





Take a test photo. See if lighting is good, and if not adjust and take another photo.





Go to Upload machine and click on T: drive. Verify that you can see the hi-res team files.





Go to Team Preview Touchscreen Computers in front. Click Refresh. Verify you can see the test team photos you just took.




Install wireless box

Set the white wireless box near the upload PC.





Connect one internet cable from the switch to the data out on the wireless box. Connect one internet cable from the boxes power adapter to the power in on the wireless box. The wireless box indicator light will be blinking (I think() to begin with and then about 1 – 2 minutes later be solid white.




Setup ipads

Verify tables are positioned correctly for the ipads. Tables work best if very visible to walk by traffic – in front works well, for example.





Verify skirts are around all tables. The locks will be hidden under the skirts





Verify there is power to the center of each table row.





Locate the ipad bin and place the metal charger boxes in position. Plug them in the main power.





Extend the power charger cords to the target locations of the ipads. There should be about 24 – 28 ipads per 32' section of table or 12 to 14 per side. Some power charger cords are 6' and some are 3'. The 3' ones go to the closer ipads target areas and the 6' ones go to the farther ipad target areas.





Position one ipad at a time at its target location and immediately lock them. Do this for all ipads.





Place the empty bin under the table(s).




Test ipads

If at least one ipad isn't already on, turn one one.





On the ipad desktop, click TexStarPhoto. It should bring up the default screen showing Divisions. If not, click Setup and turn off wireless and then turn on wireless. Password should be texstar2019 or something like that





Turn on remaining ipads and verify default screen can be seen.





Verify ipads are charging.




Delete old, unused files on Upload PC

Delete local masterdata view files including team view files.




Delete old, unused files on VSS

Test import

On Action request laptop create a test request. Apostrophes not allowed in team names.





On Import PC, insert memory card into card reader with test images

Enter request info to upload





Click upload. Click Verify to see the uploaded images





On ipads, verify that you can see the uploaded images




Hang backdrop (Needs 2 people)

Verify that the USAV backdrop is present





Place 6” tall extender bins (clear plastic or something else) under the 3 pipe stands that will be holding the backdrop. Place a weight over each pipe stand.





Standing on tall chair or table or something, using S-hooks at the top grommets and bungies on the side grommets, hang the backdrop over the horizontal pipes being careful to have the middle of the backdrop be aligned with the middle pipe. Try and keep the backdrop as smooth as possible by stretching the sides with the bungies. The bungie at the top left and right grommet is particularly important so the top edge of the banner is smooth. Don't stretch too tight, just stretched enough to be smooth. Some wrinkles may persist. That's OK. The bottom 6” of the backdrop can be folded back above the team photography pads.




Arrange photography pads

There are 2 boxes – 25 each – of 2'x2' photography pads. Arrange them next to the backdrop as 10x5 (20'x10'). Make sure the interlocking tabs are flush so players don't trip.




Hang large team banner(s) (Needs 2 people)

There are either 1 or 2 large banners. Determine the best place to hang them. The goal of the 1st banner is maximum visibility to the front entrance. The goal of the 2nd banner is maximum visibility to the courts. Generally one behind the team backdrop and one opposite works well. Sometimes one near the team photography entrance and one at the back if the booth backs up to risers also works well. If backed up to a riser, one goal is to raise it to block people taking photos of the teams.





Locate the banner(s) in the long boxes and the banner stands/poles also in long boxes





Place the banner stands in position – roughly 10' apart. Extend the legs to their maximum spread. Position them to prevent anyone from accidentally hitting the legs when parents or players walk by. Connect the banner pole pieces together to result in a long pole about 10' wide. Place the long pole securely on the stands. There is a large hole on either side of the long pole. With 2 people one on each side of the 10' banner, hang the banner on the long pole using bungies through the grommets. Start with the top left and right grommets first and stretch the banner very taught and secure each of these bugies around the long pole ends so the banner is stretched pretty tight. It's normal for the banner to hang down about 1 – 2” on the ends, but still the banner is pretty tight. Since the long pole will bow downward, make the bungies in the middle hold the banner very close to the long pole while the bungies as you go out to the ends should hold the banner less close so there is some slack 1 – 2” on the ends. In this way, the banner will hang straight despite the bowing in the long pole.





With person on either end, raise the top section of the banner stands. Be careful to raise just the top section, not any lower sections yet. Once the top section is raised (about 3') the tighten the hand knob. Using bungies on the side grommets, attach them to the top section. Inspect the banner to see that it is pretty smooth. If not, adjust.





With a person on either end, raise the middle section of the banner stands. Once raised (about another 3') then tighten the hand knob.





With a person on either end, raise the bottom section of the banner stands. Once raised (about another 3') then tighten the hand knob. Look at the banner from a distance. The goal is for the two-sided banner to be totally visible above the 8' pipe/drape. Generally the taller the better. If the banner doesn't appear level, adjust the height so it is level.





Using a chair and bungies, secure the best you can the top banner section to the horizontal pipe. The goal is to prevent the banner from falling down if accidentally hit.




Hang Small Banners

Locate the 3 small banners (about 1'x8' or 1'x10') in the small banner box. Verify the pipe is in place in the front of the booth.





Move the vertical pipes so that there is roughly 10' between the leftmost pipe and the next pipe to the right. That's where the 8' team banner will go. There should be another 10' between that vertical pipe and the next vertical pipe. That's where the 8' action banner will go. Then verify there is more like 12' to the right of that vertical pipe and the next vertical pipe. That's where the 10' checkout banner will go. The simplest starting point for a 40' front is that each pipe is 10' from the other. However, it's best of the 2nd from the right pipe is only about 8' from the end which means the next pipe over (for the checkout banner) will be 12'.





The team banner goes over the team photography entrance. The action banner goes over the Request table area. The checkout banner goes over the sales station table area.





Using bungies attach the end grommets to the pipe. Wrap the bungies around the top of the pipe. It's OK to have a little slack. Then using the minimum number of bungies, attach the middle grommets to the pipe – you may only need one. If it is straight enough, then you can stop with the middle grommets. Do this for all three banners.




Arrange the display stands with poster samples and signs

Locate the large easel stands in the long boxes. Locate the small easel stands in a middle size narrow box. Locate the poster sample box(s).





Arrange the large easel stands on the display tables with space between for the small easel stands. Place one large easel stand on the Request table with the “How It Works” sign. If possible on this table somethere place one of the top of the line poster samples.





Set the poster samples on the easel stands with the 16x24 ones on the large easel stands and the 12x18 ones on the small easel stands. Arrange them in a way that is most clear as to what we are offering. The labels should be either in the back of each poster sample or in the same box as the poster samples. Place the labels on top of each poster sample.




Test Credit Card Machines

With the credit card machines plugged in to power strips, turn them on. Using one of our cards, try a .01 cent transaction.




Setup Money Box

Place the money box on the Team Print table near the front. Locate the key which should be underneath the money box. Keep the key in its lock. Place the laser printer on top of this to save space if necessary.




Position Action Order Forms

Locate the action order forms which should be in a Fedex Office 8.5x11 box. Place them on the Request table. If necessary, you can print them from TexStarMain/Action/Print Order Form




Position Team Order Forms

Locate the team order forms which should be in a Fedex Office 8.5x11 box. Place them on the Team Identification table. If necessary, you can print them from TexStarMain/Teams/Print Team Order Form.




Prepare for Action Photographers

On 8.5x11 sheet, prepare the IN and OUT action photography sheets. The IN is a place for memory cards that need to be uploaded. The OUT is a place for memory cards that have been uploaded and can go back to the photographers. Determine the number of action photographers for the event and mark lines so there is no more than 6 photographer areas per sheet. Write their initials at the top of each area. Place the IN and OUT sheets next to the Upload PC convenient to the uploader and photographers.




Print blank Action Requests

If there aren't enough requests per hour which is common in the beginning of the event, but can happen throughout the event, have blank action requests for writing in “Spec” requests. You can print these via TexStar/Print Action Requests. Cut them with sissors or the trimmer.




Print Action Matrix

The Action Matrix slows which courts Photographers have been assigned. You can print this via TexStar/Print Action Matrix. Once printed, write in the event and date at the top and photorapher initials in the column headers.




Print Time Sheet

Print the time sheet to capture staff time. You can print this via TexStar/Other/Print Hours Form

Print the text form to capture staff text numbers. You can print this via TexStar/Other/Text Numbers
